How To: Add HTML Signature to Outlook Emails

Outlook For Web (Browser Version)

  1. Download your signature from the link above.
    *If your signature is missing or incorrect, contact Nathan or the Brand Team
  2. Open the Email Signature HTML file in your web browser by double clicking the file (or right click > open with > web browser eg. Chrome)
  3. Copy the entire signature.
    Press CTRL + A (Command + A for Mac) to highlight the signature, then press CTRL C (Command + C for Mac) to copy the signature.
    *Important: Do not use your mouse to select the area, only use Ctrl + A (or Command + A) as you may miss out on grabbing some of the code.
  4. Login to your Office 365 mail account.
  5. On the top right of your screen, click the Settings (gear) icon, then select “View all Outlook settings”.
  6. Select “Compose and reply”.
  7. Paste your email signature into the email signature settings box
    Ctrl + V (Windows) or Command + V (Mac).
    This should save automatically.
  8. Pro Tip - You can manually select the phone number or email address and loose the blue underline that Outlook automatically adds. Highlight the phone number/email address and press Ctrl + U (Command + U for Mac) twice.
  9. Click out of the box and select “New Message”. Your signature should now be added at the bottom of the email.
  10. Test with a team member before using with the outside world

  4. Open your Outlook Mail App.
  5. Select "New Message"
  6. Select Signature > Manage Signatures at the top of message window.
  7. Select +
  8. Delete any text
  9. Paste new signature - Control + V (Command + V for Mac)
  10. Click the disc icon at top of window to save the signature.
  11. Still in your signatures window - Assign the signature to your email account, and also your preferences for using with with new messages and replies/forwards.
    *Some people prefer a simple text signature fore replies to save file space. You can easily just copy parts of your full signature and paste in a new signature (+).

iOS Mail App (Apple Mail)

  1. Open the signature HTML file in your web browser app from your iPhone. (Alternatively you can send yourself an email with the new signature included and copy from there).
  2. Tap on the email signature and hold down. A tooltip will open with formatting options, select Select All.
  3. Once the signature is selected, select Copy
  4. Go to Settings > Mail, then scroll down and select Signature.
  5. Select either All Accounts or Per Account, whatever is preferred, then tap and hold in the field below.
  6. Select the Paste option to insert your copied email signature.
  7. You will notice that your email signature isn't quite displaying correctly. Shake your device side to side until a text box opens prompting to undo changes. Tap Undo and you'll see your signature's formatting is corrected and displays as intended.
  8. Close out of your settings and compose a new email. You should see that your email signature is automatically added to the end of your email.
