How to Submit PO

  1. Open Viking Knowledge Base
  2. Click PO submission link - this will open an Asana form
  3. Fill in the necessary information
    1. Name, Job Type, Branch, PO date
    2. The committed date refers to the date when the equipment is needed on-site.
    3. Link to Hubspot refers to the link of the deal in Hubspot. To find this link, open Hubspot > Sales > Deals > <search for deal name> then copy the URL and paste in the corresponding field. If the deal doesn’t exist, create the deal using Proposify.
    4. Enter the Total PO/Contract value (GST excluded)
    5. Fill in the remaining fields.
    6. You can add any additional information e.g. Contract value is GST excluded, etc..
  4. Submit
  5. You can then see the PO in Asana’s Purchase Order Register
  6. Attach the handover document if prepared.
